UCC Course Approval Process

The course regularization process consists of the following steps:
 
1.       Complete Course Approval Form (available on the Faculty Drive in the UCC folder and Portal Page) .
2.       A course syllabus and other relevant course materials must be submitted with the Course Approval Form for approval to the involved Department/Division/Program at a regularly scheduled department meeting. If more than one Department/Division/Program is involved, the syllabus and other course materials must be submitted and approved by all. Examples of relevant course materials might include, paper assignments, samples of student work, lists of any revisions made to the course, etc. The course must be approved at this level to continue in the process. Upon approval, the Chairs of all involved Departments/Divisions/Programs must sign and date the Course Approval Form.

3.       The approved syllabus, relevant course materials, and Approval Form with Chair signature/s (email signature is acceptable) should then be submitted to the Chair of UCC for scheduling its review at the soonest possible meeting according to UCC scheduled agendas. Please note:  Documents submitted less than one week prior to any scheduled UCC meeting will be placed on the following month’s agenda if possible. Please submit all relevant documents to the Chairperson of UCC as attachments via email. Hard copies are not required.

4.       The UCC chair will notify the appropriate subcommittee members and distribute submitted materials to all committee members. If required, the UCC Approval Subcommittee will meet prior to the UCC meeting to prepare a report on the proposed course. The UCC Chair (upon coordination with the subcommittee) will notify involved faculty at least one week in advance of the time and place of the UCC meeting where the Approval review will take place.   It is required that either the faculty member who presented the course to the Department or another member of the Department who can advocate for the approval of the course be present.  

5.       The UCC will meet with department representative, review the materials, and then vote on the course proposed for Approval. The UCC Chair will record the vote on the Course Approval Form and sign and date the form. 
6.       If the course is not approved, the UCC will inform the involved faculty member of the rationale for recommended changes that the UCC considers necessary for Approval.

If the course is approved, the UCC chair will present the recommendations at the next regularly scheduled Faculty Meeting as a motion to be voted upon by the faculty. The UCC Chair will record the vote on the Course Approval Form and sign and date the form. If the Faculty votes to approve the course, the UCC Chair will forward the result to the Registrar so that the course will be recorded as Approved.
